Syncing payments to QuoteMachine from Lightspeed X-Series

This article walks you through how to sync payments on past and present invoices.

If you've already created an invoice and would like to receive payments for that invoice from your Lightspeed terminal or you have old invoices whose payments haven't synced to QuoteMachine follow the steps listed below to sync your payments.

Important: Before proceeding double check with the QuoteMachine support team that you have payment synced enabled.

How to Receive Payment on an Existing Invoice

This only applies to sales that exist in QuoteMachine and Lightspeed but have not been paid off, they should be "Waiting for payment".

To pay off this sale in Lightspeed navigate to your Sales history page. Find the sale the customer wants to pay for.

Important: It must start with a QuoteMachine prefix, typically "INV"

Click continue sale.

This will redirect you to the sales page here you can collect the payment by clicking the Pay button and selecting the appropriate payment type just as you normally would for any regular transaction.

Now if you check the invoice in QuoteMachine you will notice that it's been paid off.




How to Sync Payments on a Previously Paid Invoice.

This only applies to sales that have been paid off in Lightspeed the payment isn't pushing through to QuoteMachine so they're marked "Waiting for payment".

To pay off this sale in Lightspeed navigate to your Sales history page. Find the sale whose payment has not been pushed through to QuoteMachine.

Important: It must start with a QuoteMachine prefix, typically "INV"

You should see that there's a balance of $0 on the sale but the payment has not been pushed through to QuoteMachine, from here you want to click Edit.

Make a slight modification to the payment for example the time received change it to anything earlier in the day then click save changes. This will trigger a sync and QuoteMachine will register that the payment has been made.

If you check QuoteMachine you should notice that the payment has been updated.
