In our ongoing efforts to streamline QuoteMachine, we've introduced two new features aimed at enhancing user experience and preventing potential issues.

Tax Rate Deletion Rules!

To safeguard your account, integrations, and accounting processes, we've implemented three rules when attempting to delete Tax Rates. Attempting to delete if those rules apply would give you one of the following error messages :

  • One or more contacts have this tax rate set as their default. Please update these contacts to ensure they don't use this rate before you can proceed with the deletion.

  • Cannot delete the default tax. Please ensure this tax rate is no longer the default before you can proceed with the deletion.

Tax Rate is assigned to a contact, a supplier, or a company

You must first un-assign them from the Tax Rate before deletion.

Assigning a different Tax Rate as default enables its deletion.

Tax Rate is the only one

Creating a new Tax Rate and assigning it as the new default facilitates its deletion. Refer to the Setting up taxes article for more help on the subject.


Tax Rate Filters!

To empower users with efficient tax management, we've introduced a filtering feature:

  • Login to your QuoteMachine account

  • Navigate to Contacts from the left-hand menu

    • If you're searching for a supplier, click Suppliers from the top-hand menu

  • Click Filters

  • Click on Default Tax

  • Choose between 'Is one of' or 'Is not one of' based on your requirements

  • Select the taxes you are searching

  • Click Close

Voilà! Your search will now update to the newly defined Tax Rate filter!


New Notification Settings!

We have added two new notification settings: Order Assigned and Order Line Assigned. Users will be notified by email (pending the setting being turn on) when they are assigned to an Order or a Line Item on an Order.

How to turn on Order/Line Notifications

These settings are determined on a per-user basis. Here's how you turn them on.

  • Login to your QuoteMachine account

  • Navigate to My Account from the left-hand menu

  • Navigate to Users from the top-hand menu

  • Click on the User you wish to update settings for

  • Navigate to E-Mail Notifications from the top-hand menu

  • Choose which settings to turn on/off

    • Order Assigned

    • Order Line Assigned

  • Click Submit to save your modifications.

Modifying the Assigned User of a document

Whoever is assigned to a document (Quote, Order, Invoice) will be the one receiving notifications on it when there is activity on it. It was already possible to modify who documents were assigned to, know the new assignee will receive an email notification pending the setting is turned on for them.

  • Open the document you wish to change assignation

  • Click the bottom menu (...)

  • Click Edit

  • From the top-right, click the pencil under Assigned to

  • Select the new assignee from the dropdown list

  • Click the Save button

  • Click Close edit mode at the bottom-right

If the new User has turned on the Order Assigned setting, they will now receive a notification by email of this change.

Modifying the Assigned User of a Document's Line Item

By default, Line Items will be assigned to the Document's owner. This can be changed on a per item basis.

Important! One email notification per "Save" will be sent. To avoid spamming your User, be sure to select the correct menu to group modifications. The left-hand menu near discounts will send one email for the lot, whereas the menu on the right will send one email per line item.

For multi-item changes

  • Open the document you wish to change assignation

  • Click the bottom menu (...)

  • Click Edit

  • Select the items you wish to modify their assignation

  • Click the ... button at the top-left of the Pricing Table

  • Click Assigned User

  • Choose the new assignee from the dropdown list

  • Click Change Assigned User

  • Click Close edit mode at the bottom-right

For single-item changes

  • Open the document you wish to change assignation

  • Click the bottom menu (...)

  • Click Edit

  • You can either modify the Assigned User of that Line Item from

    • The avatar located in the quantity section of the line item

    • The menu of the line item (same location), then Assigned User

  • Choose the new assignee from the dropdown list

  • Click Change Assigned User

  • Click Close edit mode at the bottom-right

If the new User has turned on the Order Line Assigned setting, they will now receive a notification by email of this change.
