This article is for Users integrated with Lightspeed Retail (X-Series).
QuoteMachine provides you with the tools required to make quotes, work orders, and invoices with a powerful configuration experience. However, sometimes it's faster and simpler to create those things directly from the Register screen in Lightspeed Retail (X-Series).
In this article, we we cover the proper steps to use QuoteMachine's Quick Keys. If you need help setting up your Quick Keys, please refer to the Setting up Quick Keys in Lightspeed Retail (X-Series) article.
Quick Keys
QuoteMachine has 4 distinct Quick Keys that are automatically added to your Lightspeed Retail (X-Series) account during the Integration Setup phase. For more information on Quick Keys, visit Lightspeed Retail's X-Series Help Center and their Setting up Quick Keys article.
The Create Quote, Create Work Order, and Create Invoice quick keys all follow the same workflow while the Receive Deposit quick key has a dedicated workflow to allow taking a deposit on a Document or creating a Credit Memo on the customer account.
Create Quotes, Work Orders, and Invoices
The process is identical for Quotes, Work Orders, and Invoices. The process shown below will be using the Create Quote quick key for simplification purposes.
From your Lightspeed Retail (X-Series) Sell Screen
Add products to the Sale
Add a customer to the Sale
Click the Create Quote Quick Key
After a couple seconds, you will be presented with a Quote Attributes popup.
Add notes if required
You can change the required deposit
Determine how to send the quote to your customer
Click Continue when done
Click Pay to create the quote
You will see the products disappear as they are being added to the Quote in QuoteMachine. Once complete, a QuoteMachine popup will appear. Click Pay Deposit to receive a payment, click Close if none is required.
Once on the payment screen, treat this as any Lightspeed Sale.
A recent Lightspeed update causes the system to believe no customer is attached at the payment screen. Simply disregard it as QuoteMachine doesn't require the Customer Details at this point, we have a Quote number to tie the deposit to.
On the left is your itemized transaction list which includes the deposit amount, whereas on the right is the payment section.
Choose the method of payment
Click Collect
Click Complete Sale
Et voilà! You have created a Document in QuoteMachine and taken a Deposit on it!
Receive Deposit
Finally, you can take deposits on Documents or Customer Accounts from Lightspeed Retail (X-Series) using the Receive Deposit quick key.
From your Lightspeed Retail (X-Series) Sell Screen
Add a customer to the Sale
Click the Receive Deposit Quick Key
After a couple seconds, you will be presented with a Receive Deposit popup for which you will choose which Operation Type to perform.
Select which Operation Type to perform
Click Continue
An Attributes popup will appear after a couple of seconds
Type in the amount to be deposited
For deposits, select the Document in question
For credit memos, select New Document
Click Continue
Click Pay
After a couple of seconds, a Deposit Created popup will appear. Click Pay Deposit to receive a payment.
Once on the payment screen, treat this as any Lightspeed Sale.
